We are currently recruiting an Assistant Facilities Manager for this large retail space. The role is responsible for ensuring operational standards are adhered to with a focus on security, housekeeping and maintenance amongst other operational areas. This would suit an experienced Duty Manager or Facilities Manager of a large hotel / commercial property with extensive grounds.
Key responsibilities include:
- Build and maintain working relationships with the soft services management team, local security officers, emergency services, Local Authorities and Government agencies
- Ensure that agreed standard service levels are being met daily, with compliance in all areas of service delivery
- Attend monthly service level meetings with contract manager to ensure contracted levels of service are received
- Attend contract review meetings with service providers to assess service levels
- Liaise with Security manager and team leaders to ensure sufficient cover for excellent security standards even during peak trade times
- Build relationships with site managers and team leaders to ensure the team are focused and completing periodic tasks
- Support shift leader to ensure exceptional cleaning standards at all times
- Support the services rota ensuring the correct levels of resource are in place at all times including additional support for events, increased volumes and extended trading hours
- Budget management: sourcing competitive quotes prior to contract renewal in conjunction with Operations Management team
- Maintain stock levels and ordering of all necessary consumables required for cleaning and hygiene
- Effectively manage/support all areas of facilities maintenance including: planned maintenance works, reactive maintenance list, certificates, tools & equipment, ordering equipment and consumables as required, quotations for maintenance projects, supervision of works for quality assurance, maintenance team meetings, production of weekly work sheets
- Support the operations management team in effectively managing parking operations and budgets
- Health & Safety: ensure all contracted services adhere to site safety regulations, carry out contractor inductions, participate in all H&S meetings and scheduled training sessions
- Support other operational areas: waste management, landscaping, sustainability, property management & systems, ESG/corporate governance etc
The ideal candidate will have at least two years’ experience in facilities/operations/duty management within a large hospitality/commercial setting with proven track record of contractor and SLA management. Further candidate attributes include:
- BIFM or IFMA qualification in Facilities Management preferable
- Excellent in building and maintaining relationship with internal and external parties
- Event management experience preferable
- Strong experience working in a fast-moving environment
- Good knowledge of H&S
- Proven experience in budget management
- Able to work well with all levels across the business
- Demonstrate a customer-oriented mindset
- Ability to prioritize work to meet tight and multiple deadlines
- Keen eye for detail
- Able to work during opening hours from Monday to Sunday on rotation (shifts: 8am-5pm, 9am-6pm or 11am-8pm, one weekend in four)
- Fluent in English, additional European language an advantage
